Section Access and Record Access

Admins see everything in their company. For everyone else, two settings in System Manager decide what they can reach. Both are edited on the same page, under the team list.

Section Access: which pages. Each area of the dashboard is a section: SMS Dashboard, AI Manager, Voice Settings, Sub-Accounts and System Manager. For each team member you choose Hide, Read Only or Full Access per section. Hide removes the menu item and the page refuses to load, even by typing its address. Read Only lets the page load but refuses every save, send or delete. A new Agent starts with every section hidden until you grant something, which is the safe default.

Record Access: which records. Section Access says which rooms a person may enter. Record Access says which things they see inside. Three kinds of record can be granted:

  • Phone numbers. A team member limited to certain numbers sees only those numbers' text threads in the inbox, can only send from those numbers, and sees only their voicemails, call history, transcripts, voice settings and phone menus. The dialer offers only those numbers. Nothing they cannot see is a hidden button; the data itself is filtered.
  • AI receptionists. They see only those receptionists in the AI Manager, along with the knowledge, transfer rules, intake questions, logs and appointments that belong to them. Global items (not tied to one receptionist) stay visible. Their new receptionists are granted to them automatically.
  • Calendars. They see only appointments on those calendars in Appointment Logs and can only approve text bookings on them. See One Calendar Per Person.

The one rule to remember. For each kind of record, ticking nothing means "all of them". Tick one box and the person is limited to exactly what is ticked. So nothing changes for anyone until an Admin ticks something, and lifting a restriction is unticking every box in that column.

A worked example. A company has a sales line and a support line, two AI receptionists and one calendar. The sales team is given Full Access to the SMS Dashboard, Read Only on Voice Settings, and the sales number and Sales AI ticked. They see only sales threads and can only reply from the sales number; support conversations do not exist for them. The support lead has both numbers ticked and sees everything on both lines, but has System Manager hidden and cannot change team settings.

What these settings never grant. Syncing numbers from a carrier, viewing or changing API keys, adding or removing team members, connecting Google accounts and billing stay Admin only no matter what is ticked.

Changes take effect the next time that person loads a page. Nobody needs to log out.
