How to Import ClickFunnels Contacts Into Your Business Texting App
You built the funnel, the leads are coming in, and every one of them gave you a phone number. Now they sit inside ClickFunnels while your team texts from somewhere else. This guide shows three ways to get ClickFunnels contacts into a business texting app, what each one is good for, and the consent rules that decide whether you are allowed to text them at all.
There are three ways in. CSV export works with every version of ClickFunnels and takes ten minutes. A webhook link adds each new lead the moment they opt in. A direct API sync pulls your whole ClickFunnels 2.0 workspace and checks for new people every night. Whichever you pick, only bring across people who agreed to get texts from you, and keep a record of where they agreed.
Why ClickFunnels contacts belong in your texting app
ClickFunnels is very good at turning a visitor into a lead. It is not built to hold a two-way text conversation with that lead, with your whole team able to see the thread, pick it up and reply. That is what a shared texting inbox is for.
When the two are disconnected, the same things go wrong in every business:
- Nobody knows who the texter is. A new lead replies to your follow-up and your team sees a bare phone number, not "Maria from the Saturday webinar".
- Context is lost. The tags you set in ClickFunnels (which funnel, which offer, which stage) never reach the people answering the texts.
- Consent gets fuzzy. Someone copies a list across by hand, and six months later nobody can say where those people agreed to be texted. That is the question a carrier asks when a complaint comes in.
Getting contacts across properly fixes all three: names on threads, tags your team can filter by, and an opt-in record saved on every contact.
Three ways to move ClickFunnels contacts
| CSV export | Webhook link | API sync | |
|---|---|---|---|
| Works with | ClickFunnels 1.0 and 2.0 | ClickFunnels 2.0, Zapier, Make, any form | ClickFunnels 2.0 |
| Speed | Whenever you export | Seconds after they opt in | On demand, plus nightly |
| Setup time | About 10 minutes | About 10 minutes | About 5 minutes |
| Best for | Your existing list, one time | New leads from now on | Keeping a whole workspace in step |
| Needs | A CSV file | A private link | A workspace API key |
Most businesses use two of them: a CSV or API sync to bring the existing list across once, then the webhook link so every new lead arrives on its own.
Method 1: Export a CSV and import it
This is the universal method. Every CRM, spreadsheet and funnel builder can export a CSV, and every serious texting app can read one.
- Export from ClickFunnels.
Open your contacts in ClickFunnels and use the export option to download a CSV. If you only want people who agreed to texts, filter by your opt-in tag first, so the file holds only them.
- Open the import in TelBuddy.
Go to Contacts, press Import, and drop the file in. TelBuddy reads it in your browser and tells you how many people it found.
- Check the column matching.
Columns named like Email, First Name, Last Name, Phone and Tags are matched for you. Change any of them from the dropdown. First and last name are joined into one name.
- Say where they opted in.
This box is required, and what you type is saved on every contact in the file. Write something you could show a carrier: "ClickFunnels webinar sign-up form, September 2026".
- Preview and import.
The preview shows the first five people with each phone number in green (readable) or red (not). Rows without a usable number are listed at the end, with a button to download them, fix them and import again.
Two details matter more than they look. First, phone numbers are cleaned to one standard format, so (727) 555-0101 and +17275550101 become the same person instead of two. Second, people you already have are updated, not duplicated: blanks in the file never erase what you already know, and tags are added rather than replaced.
Method 2: Send every new lead automatically with a webhook link
A CSV is a snapshot. The day after you import it, new leads start piling up in ClickFunnels again. A webhook fixes that: every time someone opts in, ClickFunnels (or Zapier, or Make) sends that person straight to your contacts.
- Create your link.
In TelBuddy, open Contacts, then Connect. Fill in where these people agree to get texts and, if you like, a tag for everyone who arrives this way. Press Create my link and copy it.
- Add it in ClickFunnels.
In your ClickFunnels 2.0 workspace settings, find the webhooks area, add a new endpoint, paste your link and choose the contact events you want, such as a new contact or a form submission.
- Or use Zapier or Make.
Pick your form as the trigger and add a webhook action set to POST with your link. Send fields named like name (or first_name and last_name), phone, email, and optionally company and tags.
- Test it.
Fill in your own form. Under Recent in TelBuddy you should appear as Added within seconds.
The link accepts whatever shape the other app sends, nested or flat, and finds the fields by their names. It is private: anyone holding it can add contacts, so if it ever leaks you can make a new one, and the old one stops working at once. You can also pause it without deleting anything.
Adding a contact never sends them a text. A lead arriving in your contacts is not the same thing as permission to message them, and TelBuddy treats it that way.
Method 3: Sync straight from ClickFunnels with an API key
If you are on ClickFunnels 2.0 and want your whole workspace in your texting app without exporting files, a direct sync is the cleanest option.
- Create a workspace API key in ClickFunnels.
ClickFunnels issues these under your team settings, in the Platform Applications area. Create a key for the workspace your contacts live in.
- Connect it in TelBuddy.
In Contacts, open Connect, then the ClickFunnels sync tab. Paste your workspace address (the one in your browser, like
yourbusiness.myclickfunnels.com) and the key. TelBuddy checks the key with ClickFunnels and finds the right workspace before saving. The key is stored encrypted and never shown back in full. - Choose who comes across.
Fill in where they opted in. Then, strongly recommended, enter a tag in Only people with this ClickFunnels tag, such as "sms opt-in". That way buyers who never agreed to texts stay in ClickFunnels.
- Sync now.
Contacts come across in batches with a progress bar. At the end you see how many were added, updated, already up to date, and skipped because they had no phone number.
- Turn on the nightly check.
Tick "Check for new people every night" and new ClickFunnels contacts are in TelBuddy by the next morning.
Running the sync again is safe. People already brought across show as "already up to date", nobody is duplicated, and their ClickFunnels tags come with them.
The part that decides whether you can text them: consent
This is where most imports go wrong, and it is worth slowing down for.
Having someone's phone number is not permission to text them. In the United States, business texting is governed by the TCPA and by carrier rules, and since 2023 almost every business number also has to be registered for A2P 10DLC. A registered campaign describes how people opt in. If you text people who did not agree, you risk complaints, filtered messages, a suspended number and, in the worst cases, legal claims. (This is general information, not legal advice. Check with a professional for your situation.)
Practical rules that keep you safe:
- Only import people who opted in to texts. A checkout or webinar sign-up is not automatically consent to texting. A form with a clear SMS consent line is.
- Record where they opted in. TelBuddy asks for this on every import, link and sync and saves it on each contact, so you can answer the question later.
- Honour STOP everywhere. If someone replies STOP, every send to them should stop, from every number you have. TelBuddy does this automatically on Twilio and Telnyx. Our guide to what to do when a customer texts STOP covers the details.
- Do not blast. Importing a list is not a reason to message all of it at once. Large sends from a new number are the fastest way to hit carrier limits and filters.

What your team gets once the contacts are in
- Names on every thread. Replies from imported leads show their name and business instead of a bare number.
- Tags you can filter by. Funnel, offer or stage tags from ClickFunnels become filter chips on the Contacts page.
- Your own fields. Add boxes such as Lead stage or Property address; columns and webhook fields with the same name fill them automatically.
- Clean data. One person, one contact. A duplicate finder catches the same email or name saved twice and merges them, keeping both conversations.
- One click to the conversation. Message opens that person's thread in the shared inbox, on your own Twilio or Telnyx number.

Common mistakes to avoid
- Importing everyone. Your ClickFunnels list includes buyers, refund requests and people who only wanted a PDF. Filter to the people who agreed to texts.
- Losing the opt-in record. "We got them from ClickFunnels" will not satisfy a carrier. "ClickFunnels webinar form with SMS consent, September 2026" will.
- Numbers without a country code. Ten-digit US and Canadian numbers are fine. Anything else needs a plus sign and the country code, or it cannot be read safely.
- Setting up the webhook and never testing it. Fill in your own form once and check it arrives.
- Treating import as a campaign. Bring people in, then talk to them one at a time, when they are expecting to hear from you.
Getting started
TelBuddy runs on the Twilio or Telnyx account you already have, so your numbers, registration and carrier bill stay yours. Connect your carrier, open Contacts, and pick the method that fits: CSV for the list you have, the link for new leads, or the ClickFunnels sync for everything. You can try it on the free trial.
Frequently asked questions
Can I import ClickFunnels contacts into a texting app?
Yes. Export a CSV from ClickFunnels and import it, send new leads automatically with a webhook link, or connect a ClickFunnels 2.0 API key and sync the whole workspace. TelBuddy supports all three.
Does this work with ClickFunnels 1.0 and 2.0?
CSV import works with both. The webhook link and the direct API sync are for ClickFunnels 2.0. Zapier or Make can also send leads from either version to the webhook link.
Will importing contacts send them a text?
No. Adding a contact by import, link or sync never sends a message. You decide who to text and when, one conversation at a time.
Can I only bring across people who agreed to texts?
Yes. Filter by your opt-in tag before exporting a CSV, or enter that tag in "Only people with this ClickFunnels tag" when you set up the sync.
What happens to people who are already in my contacts?
They are updated, not duplicated. Values from ClickFunnels fill in or replace what you have, blank cells never erase anything, and tags are added rather than replaced.
Is my ClickFunnels API key safe?
It is stored encrypted, only people with full access to Contacts can connect it, and the page only ever shows its last few characters. Disconnecting deletes it.
Do imported contacts work with both Twilio and Telnyx?
Yes. Contacts belong to your TelBuddy account, not to one carrier, so they work with every number you have connected on Twilio, Telnyx or both.
What if a contact later texts STOP?
TelBuddy records it and stops every text to that person from all of your numbers, including AI replies and missed-call texts, until they text START.
