How to Clean Up a Messy Contact List: Duplicates, Bad Numbers and Missing Names
Every business contact list gets messy: the same person saved three times, numbers typed six different ways, names missing, tags nobody remembers adding. A messy list is not just untidy. It means texts going to the wrong thread, customers who look like strangers, and opt-outs that do not stick. Here is how to clean it up, step by step.
Why a messy list causes real problems
- Duplicate threads. "(727) 555-0101" and "+17275550101" look like two people, so the conversation splits.
- Missed opt-outs. If someone texts STOP on one record, a duplicate might still be texted.
- Strangers in the inbox. A reply from a number with no name slows your team down.
- Wasted texts. Landlines and dead numbers fail every time.
Step 1: Put every number in one format
The standard for phone numbers is the international format: a plus, the country code and the number, like +17275550101. Once every number is stored that way, duplicates become obvious and texts route correctly.
TelBuddy does this for you: numbers are cleaned to the standard format when contacts are added or imported, and older contacts are tidied the first time you open the Contacts page. Records that turn out to be the same number are combined, keeping their notes. Numbers that cannot be read safely are left alone for you to check.
Step 2: Find and merge duplicates
The same person often appears under two numbers (a mobile and a work line) or with two spellings of a name. In TelBuddy, Contacts, Tools, Duplicates lists people with the same email or the same name. For each group:
- Pick the record to keep, usually the one with the number they text from.
- Merge. Empty boxes on the kept record are filled from the others, tags are combined, and notes are combined with the number each came from.
- The extra records are removed. Every conversation stays in the inbox.
Step 3: Tidy your tags
Tags drift: "VIP", "vip customer", "Vip". In Tools, Tags, rename a tag to merge it into another everywhere at once, or remove tags you no longer use. Aim for a short list everyone understands, such as customer, lead, vip, and one tag per source.
Step 4: Fill in the gaps
- Missing names: add them as people text in; the contact popover makes it one click from the conversation.
- Missing emails or businesses: filter by "Has email" to see who is missing one.
- Your own details: add custom fields for what your team needs, like a property address or a lead stage. See custom fields by industry.
Step 5: Respect opt-outs and remove what is dead
- Filter by Opted out to see everyone who asked not to be texted. Keep them in your list so the opt-out stays on record; just never text them.
- Delete true junk: test entries, numbers you know are wrong, people you will never contact again.
Keep it clean when you import
Most mess arrives in bulk. When you import a CSV, the preview shows each number in green (readable) or red (not), and rows that cannot be read are listed with a download button so you can fix and re-import them. People you already have are updated rather than duplicated, and blank cells never erase anything. See importing contacts and sending leads from Zapier or Make.
A ten-minute monthly routine
- Check Duplicates and merge anything new.
- Glance at your tag list and merge any near-duplicates.
- Add names to any new contacts still showing only a number.
- Export a copy of your contacts as a backup.
Why it pays off
A clean list means every reply shows a name, every opt-out holds, and every teammate sees the full history of each customer in one place. It is the quiet foundation under fast, personal texting. Keep your consent records alongside it, as described in how to prove opt-in.
Frequently asked questions
How do I find duplicate contacts?
In TelBuddy open Contacts, Tools, Duplicates. It lists contacts with the same email or the same name so you can pick one to keep and merge the rest.
What happens when I merge contacts?
The record you keep gets any empty boxes filled from the others, tags and notes are combined, and the extra records are removed. Every conversation stays in the inbox.
What format should phone numbers be in?
The international format: a plus, the country code and the number, such as +17275550101. TelBuddy converts numbers to this format automatically.
Should I delete contacts who opted out?
No. Keep them so the opt-out stays on record and they are never texted again by mistake, for example after a re-import.
How do I merge two tags?
In Contacts, Tools, Tags, rename one tag to the name of the other. Every contact that had it is updated at once.
How often should I clean my contact list?
A ten-minute check once a month is enough for most small businesses: merge duplicates, tidy tags, add missing names, and export a backup.
