How to Send Leads From Zapier or Make to Your Texting Contacts

A new lead fills in your form, books a call or buys something, and you want them in your texting app's contacts straight away, with their name, email and tags, so whoever answers sees who they are. Zapier and Make can do that in a few minutes. This guide shows how, with a private webhook link, for any form, CRM or funnel tool.

How it works

Your texting app gives you a private web address (a webhook link). Zapier or Make watches your form or CRM, and every time a new lead appears, it sends their details to that link. The texting app saves them as a contact. No exports, no copy and paste.

Important

Adding a contact is not permission to text them. Only send leads who agreed to get texts from you, and record where they agreed.

  1. Open Contacts, then Connect.

In TelBuddy, the Connect panel has a Link for any app tab.

  2. Say where these people agree to get texts.

For example, "Website quote form with SMS consent". It is saved on every contact the link adds.

  3. Add a tag if you like.

For example "zapier" or "website lead", so you can filter them later.

  4. Create the link and copy it.

Keep it private: anyone with it can add contacts.

Step 2a: Set it up in Zapier

  1. Create a Zap and choose your trigger: a new form entry, a new CRM contact, a new booking.
  2. Add an action: Webhooks by Zapier, event POST.
  3. Paste your link as the URL. Choose JSON or form data; either works.
  4. Add the fields: name (or first_name and last_name), phone, email, and optionally company and tags.
  5. Test the step. The contact should appear under Recent in TelBuddy within seconds.

Step 2b: Set it up in Make

  1. Create a scenario with your form or CRM as the first module.
  2. Add an HTTP: Make a request module, method POST.
  3. Paste your link as the URL, and send the fields as JSON or form data with the names above.
  4. Run once and check Recent in TelBuddy.

Which fields to send

Field nameAlso recognisedNotes
phonemobile, cell, phone_numberRequired. 10 digits for the US, or + and the country code.
namefirst_name + last_name, full_nameFirst and last are joined.
emailemail_addressOptional.
companybusinessOptional.
tagsa list or "a, b"Added to any tags the contact already has.
Your own fieldsmatching the field nameFor example "birthday" fills a Birthday custom field.

Nested data is fine: the link finds fields by their names wherever they are.

What happens to people you already have

They are updated, not duplicated. New values from the lead fill in or replace what you have, blank fields never erase anything, and tags are added rather than replaced.

Safety and control

  • It never texts anyone. A lead arriving is not a reason to message them.
  • Recent shows the last 50 arrivals, with Added, Updated, No change or Not saved and the reason.
  • Pause it any time; sends are refused until you switch it back on.
  • Make a new link if it leaks; the old one stops working at once.
  • Limits: up to 1,000 contacts an hour.

If a lead does not arrive

  • Not saved, no phone number: check the field is called phone (or mobile) and is filled in.
  • Nothing under Recent at all: check the URL was pasted in full and the method is POST.
  • Link is paused: switch it back on in Connect.
  • Phone not readable: numbers outside the US and Canada need a + and the country code.

Using ClickFunnels?

ClickFunnels 2.0 can post to the same link directly from its webhook settings, or you can sync your workspace with an API key. See importing ClickFunnels contacts for all three methods.

Once leads are in, keep your list tidy with contact clean-up, and record consent properly with how to prove opt-in.

Frequently asked questions

Can Zapier add contacts to my texting app?

Yes. Use a Webhooks by Zapier POST action pointed at your private TelBuddy contacts link. Each new lead from your form or CRM is saved as a contact.

Does Make (Integromat) work too?

Yes. Use an HTTP Make a request module with method POST and your private link as the URL, sending the lead's fields as JSON or form data.

Which fields do I need to send?

A phone number is required. Name (or first and last name), email, company and tags are optional, and fields matching your custom field names fill those too.

Will new leads get a text automatically?

No. The link only saves contacts. It never texts anyone, so you stay in control of who you message and when.

What if the lead is already a contact?

They are updated, not duplicated. New values fill in or replace old ones, blank fields never erase anything, and tags are added.

Is the webhook link secure?

It is private, so keep it to yourself. You can pause it or make a new one at any time, and the old link stops working straight away.
